GigFellas platform terms

Platform terms, booking credits and rules for pilot and paid services.

Version 1.1 · Effective

1. Who we are and how to contact us

GigFellas is operated by Drum Dog Ltd, trading as GigFellas. In these terms, “we”, “us” and “our” mean Drum Dog Ltd.

For booking queries, use “Ask GigFellas for help” on the booking page. For account queries, complaints or questions about personal information, email [email protected].

2. What GigFellas provides

GigFellas helps venues find suitable bands and other live acts, send offers, record accepted booking details, request changes and manage cancellations. “Band” includes the performer or performer business represented by an account; “venue” includes the person or business arranging the performance.

We provide the platform. The performance booking is between the venue and the performer or performer business. We do not perform the gig, operate the venue, employ the musicians or collect the performance fee. Each representative is responsible for making clear who they are contracting for and having authority to agree the booking.

Matches are suggestions based on the information supplied to us. They are not endorsements or guarantees of suitability, availability, attendance, audience size or earnings. Review the profile and performance samples, discuss anything important and check the offer before accepting.

Bands and venues in any postcode area can publish profiles. Free-credit eligibility covers BA, BS, DT, EX, SP and TA, plus supported London postal districts (E, EC, N, NW, SE, SW, W and WC). Some Greater London postcodes are outside the free-credit area. This does not prevent profile setup or publication. Locations are approximate postal-district centres, not exact addresses.

You need a complete, published profile to find suitable gigs or bands.

3. Accounts and eligibility

You must be at least 18 to hold an account and have authority to represent the band or venue. The service is intended for arranging performances in a professional or business capacity. Any consumer rights that apply to you remain unaffected.

Keep your account, profile, contact information and availability accurate. Use an email address you monitor, complete any required verification and protect your password. Tell us promptly if you suspect unauthorised access. Do not use another person's account or impersonate a venue, performer or representative.

You are responsible for obtaining permission to provide other people's details or images and for making sure they understand how those details will be used. Avoid putting private contact details or sensitive personal information in public descriptions.

4. Booking credits, pilot access and payment

Booking credits fund the venue’s use of GigFellas, separately from the artist’s performance fee. Eligible pilot venues receive booking credits for £0.00 without card details. If needed, the venue confirms a £0 purchase for one credit before the offer is sent. Free credit packs cannot be purchased in advance. The planned launch price is £7 per credit, including any applicable tax; this is a future price, not a price previously charged. Standard paid purchases will show the actual total for explicit confirmation before payment. Free pilot bookings are not charged retrospectively.

Venues in the free-credit postcode area receive a default allowance of 3 welcome credits once per venue, plus 1 free monthly credit while published, active and booking-ready. Venues outside that area can publish profiles and use purchased credits. The monthly allowance follows UK calendar months. Credits are not added for past months or months when a venue was inactive or outside the eligible area. Unused monthly credits expire at month-end. Welcome and purchased credits do not expire. Each venue has its own free and purchased credit balance: a promoter can manage several venues, but credits are not pooled or transferred between venues. Multi-venue management is included in pay-as-you-go; no membership upgrade is required.

Sending the first actual offer for a venue date holds one credit. The band’s confirmation spends that credit. Private suggestions, waiting choices and changes to agreed details do not spend another credit. Replacement artists in the same offer cycle reuse the hold. When the offer cycle ends without a booking, its held credit returns to that venue’s balance unless it has expired. A credit already held before expiry remains usable for that live offer cycle; releasing it after expiry does not create a new spendable credit.

Paid credits are purchased upfront, rather than charging a card when the band replies. If a paid offer is unsuccessful, the released credit is available for another booking, subject to its validity. Releasing an unused booking credit is not an automatic card refund. If checkout succeeds but the reviewed offer has changed or expired, purchased credits remain in the original venue’s balance and the offer must be reviewed again. Buying a pack from the Credits page does not send an offer.

Enrolled pilot venues may retain £0 booking credits on demand after paid launch. This access belongs to the individual venue and may have no scheduled end or a stated end date, including an optional 12-month thank-you period from paid launch. The venue’s Credits page shows its actual access and validity. New venues do not automatically inherit another venue’s pilot access. Unused pilot or retained-access promotional credits follow that venue’s access expiry; welcome and purchased credits keep their own validity. Existing held credits remain honoured for their live offer cycle. Expired free access requires a fresh price review and explicit confirmation before any paid purchase; it never silently becomes a card charge.

Once the band confirms, the booking credit is spent. Venue or administrative cancellation keeps it spent and closes the date and waiting choices. If the band cancels before the gig starts, the same original credit funds an eligible replacement from the queue; otherwise it returns to the venue’s balance, subject to its original expiry. No new credit is granted. Before confirmation, cancelling the gig releases its unused hold, subject to expiry. Completing a booking does not spend another credit.

The performance fee displayed in the accepted offer is the total agreed fee for that performance. The venue pays the band directly using the method and timetable agreed between them. Before confirming, agree whether that fee includes VAT, travel, equipment, setup and any other costs. Do not add an extra charge after acceptance unless both parties expressly agree it. The venue and band are each responsible for their own tax, invoicing and payment obligations. GigFellas does not hold artist deposits, operate escrow or guarantee payment.

Before introducing paid platform services or changing their price or scope, we will explain the applicable terms and obtain any agreement required before charging. Booking-credit returns do not decide either party’s rights concerning the artist’s cancellation fee or any refund rights that apply.

5. From match to confirmed booking

A match is a private suggestion for the venue. It is not an offer to the band and does not reserve a performance for that band.

When a venue sends an offer, it records the venue's agreement to the displayed fee, date, address, timings and brief. The band should accept only if it can deliver that performance on those terms. Acceptance of a valid offer creates the confirmed booking shown in the app. Offers stay open until accepted, declined or withdrawn, or until the gig starts. An unanswered offer does not create a confirmed booking.

The venue may arrange bands in an order of preference. Only the current recipient receives the offer; waiting choices are not confirmed bookings and should not assume they have been offered the show. Decline or venue withdrawal may advance the offer to the next eligible choice. Unanswered offers and waiting choices close when the gig starts. Confirmation reserves the date and pauses the remaining choices.

Check the saved agreed brief, including overnight finish times, load-in, playing time, equipment, access, running order and any additional cancellation terms. Times are displayed as UK local time. Contact the other party after confirmation to arrange the practical details and payment.

6. Changes to offers and confirmed shows

Sent offer details and confirmed booking details remain in force while a change request is awaiting a response. A request is a proposal, not an instruction or an agreed change.

Either party may request supported changes before the show starts. The other party must approve them. Approved changes to a confirmed show update that booking immediately. Approval of changes to an unconfirmed offer does not itself confirm the booking: the band must still accept the revised offer.

The current change form supports performance times, load-in, playing time, fee, equipment/access brief and running order. Date, performance address, genre and poster requirements are fixed. If a fixed detail needs changing, cancel and prepare a replacement booking or ask support for help. Do not rely on a changed profile or an informal unilateral message as changing the saved agreement.

Record additional practical arrangements agreed directly in writing and keep a copy available to both parties. Where an arrangement differs from the displayed offer, resolve that difference before performing or accepting the offer. Neither party may insist on a revised fee or brief that the other has not agreed.

Agreed revisions may also update the brief for the venue's waiting choices. Each later recipient still receives its own offer and decides whether to accept it.

7. Cancellation and missed performances

If you cannot honour a booking, cancel it from the booking page before the gig starts and give a clear reason. For an urgent issue, contact the other party directly as well; do not assume an email has been seen.

Either party can cancel immediately without the other party’s agreement. The app records the reason, notifies the other party and removes the cancelled booking’s reservation. A support message alone does not cancel a booking. If the gig has already started, ask support for help. Recording cancellation does not waive payment rights, impose a charge or settle a dispute.

Venue cancellation closes the date and waiting choices. Band cancellation before the gig starts reopens the date, marks that band declined and sends the next eligible queued band an offer. If no eligible choice remains, the venue can review current matches and send a new offer. A replacement is confirmed only when its band accepts.

Any cancellation charge, refund or reimbursement must follow the parties' agreed booking terms and applicable law. GigFellas has no default cancellation percentage or automatic full-fee forfeiture rule. If there is a disagreement, retain the brief and relevant correspondence and seek a resolution promptly.

Neither a cancellation nor a missed performance should be hidden by marking a gig completed. Illness, travel disruption or another unexpected event is a reason to contact the other party; its effect on the booking depends on the agreement and applicable law.

8. Responsibilities at the gig

The venue is responsible for accurate performance-location information, safe access and premises, suitable facilities, any promised equipment, audience/event management and payment. It must identify and obtain the permissions and licences required for its event, including relevant music rights and premises permissions where applicable.

The band is responsible for the agreed performance, suitable and safe equipment it supplies, punctual arrival, conduct and any personnel it engages. Both parties should agree technical requirements, breaks, volume limits, loading arrangements and accessibility needs in advance.

Each party is responsible for any insurance, safeguarding, tax, employment or other obligations applicable to its activities. Neither party should undertake unsafe or unlawful activity to fulfil a booking. Requirements for under-18 performers must be addressed by the responsible parties before the event.

GigFellas does not certify a venue's licences or insurance, or a band's credentials. A completed profile or a suggested match is not such a certification. Music copyright permission and entertainment/premises licensing are separate matters. UK guidance on live music rights, entertainment licensing guidance.

9. Content and acceptable use

You retain ownership of your profile material. You give us a non-exclusive permission to host, display and technically adapt that material as needed to provide GigFellas, including displaying your published profile and retaining relevant booking records. This does not transfer ownership or authorise unrelated advertising use of your material.

Only upload or link material you are entitled to use. Obtain appropriate permission for photographs, recordings, other performers' details and third-party content. Contact the GigFellas team at [email protected] if you believe content infringes your rights, identifying the material and your concern.

Do not use GigFellas for misleading offers, harassment, unlawful discrimination, fraud, spam, malware, unauthorised access, or publishing someone else's confidential information. Do not scrape personal data or use booking contacts for unrelated marketing without a lawful basis. Comply with applicable law and reasonable platform instructions protecting other users and the service.

10. Support, complaints and disputes

Use “Ask GigFellas for help” for a booking concern, or contact the GigFellas team at [email protected] for a platform concern. Support notes are intended for the GigFellas team and are not displayed to the other booking party. Avoid including unnecessary health information, bank details or other sensitive material.

We can help clarify records and address platform problems. We may update a platform status with a recorded reason when needed to resolve an incident. This does not decide liability, cancel a debt or replace a court's decision. We do not promise a replacement act or an immediate response.

For a complaint, give your booking reference, a factual description and the outcome you are seeking. We will consider it fairly and tell you how we propose to resolve it. The service is not an emergency contact channel.

11. Availability, restrictions and account closure

We aim to run GigFellas with reasonable care and skill. Maintenance, technical faults and events beyond our reasonable control can interrupt access or notifications. Keep your own copy of essential booking information and contact details, and confirm urgent arrangements directly.

We may restrict an account or remove content where reasonably necessary to address a breach, protect users, investigate security concerns or comply with law. Where appropriate and lawful, we will explain the reason and give you an opportunity to respond. We will consider the effect on existing bookings and act proportionately.

Pausing your profile stops it taking part in new matching; it does not cancel an existing booking. Closing an account also does not remove either party's obligations under a booking. Accounts with booking records currently require support-assisted closure so that the counterpart's records can be preserved. You may contact the GigFellas team about your personal information separately from any outstanding booking obligations.

12. Liability and statutory rights

Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Your applicable statutory rights remain in place.

We are responsible for reasonably foreseeable loss caused by our breach of these terms or failure to use reasonable care and skill, subject to applicable law. We do not guarantee another user's performance, payment or conduct. That does not exclude responsibility for our own acts or omissions where the law makes us responsible.

For business users, we are not responsible for indirect or consequential loss to the extent that this exclusion is lawful and reasonable.

13. Updates and governing law

We may update these terms for changes to the service, law or security needs. We will identify the version and effective date and give reasonable notice of material changes, explaining any further agreement needed. An update will not retrospectively rewrite an agreed booking or treat a previous acceptance as agreement to a new material term.

These platform terms are governed by the law of England and Wales. Subject to any mandatory rights you have to use another court or legal system, disputes concerning these terms may be brought in the courts of England and Wales. The parties' separate performance agreement may have its own lawful terms; statutory rights take precedence where applicable.
